As part of the effort to improve the quality of service provided to citizens through the Covid19 Vaccination Portal, the Ministry of Research, Innovation and Digital Policy announces that, from Wednesday, 5 May 2021, the new way of arranging vaccination appointments will be activated, as follows:
In particular, only one person will now be able to arrange an appointment for each beneficiary: the beneficiary or his representative himself. It should be noted that a representative of the beneficiary may be identified by any person to whom the beneficiary wishes to provide his or her details. The representative should enter into the system the details of the beneficiary for whom he intends to make an appointment. This can be done at any time before or on the day of arrangement of appointments of the beneficiaries of each age group.
It is clarified that from Wednesday, May 5, 2021, until Thursday, May 6th, when the Portal will reopen for appointment arrangements, interested representatives will be able to register the beneficiaries for whom they intend to make an appointment for vaccination, regardless of age.
Clarifications on the new way of arranging appointments through the Portal are listed below:
1. What changes from Wednesday, 5 May 2021 in terms of how to arrange vaccination appointments?
From Wednesday, 5 May 2021, only one person will be able to arrange an appointment to vaccinate a beneficiary: the beneficiary himself or representative of the beneficiary.
2. What options will there be in the system?
The system will offer the following options: 1. Personal Appointment Arrangement 2. Arrangement through Representative, as below.
3. The representative shall be determined by the beneficiary;
No, the designation of a representative of a beneficiary through the portal is made by the representative himself to whom the beneficiary wishes to entrust his data. In particular, the representative logs into the system and records the details of the person who wishes to make an appointment for vaccination.
4. When can a person be declared as a beneficiary representative?
The representative may be declared either any day before the predetermined day of arranging an appointment for vaccination of the age group to which he belongs, or during that day.
5. What information is required to arrange an appointment through a representative?
The representative, after connecting to the Vaccination Portal, selects the "Arrangement through Representative" button and enters the following details of the beneficiary for whom he intends to arrange an appointment: Name and Last Name – as listed in the declared identification document –, Identification Document Type, Identification Document Number, Date of Birth, and selects: "Verification of Beneficiary & Continuity".
It then selects the Province of the Beneficiary and enters the contact details, namely the Mobile Phone to which it wishes to send a confirmation message (SMS), and selects "Arrangement via Representative".
The same procedure may be followed for more than a number of beneficiaries for whom the representative intends to make an appointment.
The Vaccination Portal shows as follows the requests registered for one or more beneficiaries by the representative. To arrange an appointment, the representative selects for the individual beneficiary from the column "Actions", the option "Close Appointment" when the Vaccination Portal is available for the beneficiary's age group.
The system displays the beneficiary's details, and after checking their correctness, selects "Beneficiary Verification & Continuity". Next, it proceeds with the selection of a Vaccination Center and an appointment for vaccination, in the same way that this was done until today. Please note that the representative will be able to arrange an appointment for vaccination when the Vaccination Portal is available for the beneficiary's age group.
6. Can a person be designated as a representative for more than one beneficiary?
Yes, there is no limit to the number of beneficiaries for whom a person can be designated as a representative.
7. How do you change your representative?
The representative of a beneficiary should himself remove the request for an appointment arrangement of the beneficiary concerned in order to be able to arrange the appointment either by the beneficiary himself or another representative. Entering the Portal, the person sees the Manage Requests page. The change is made by selecting from the Actions column, The Remove option, below.
8. If the representative of the beneficiary fails to arrange the appointment, can the beneficiary try again?
Yes, provided that the representative who initially declared the beneficiary removes the request from the system. When this is done, only then will another person, the beneficiary or his representative, be able to arrange an appointment.
9. How will an appointment be confirmed in cases where the appointment is arranged by a representative and not by the beneficiary himself?
In all cases, whether the appointment is arranged by the beneficiary himself or by his representative, the beneficiary will receive an SMS confirmation message on the declared mobile phone, alongside an electronic certificate in PDF format issued automatically.
10. Will his personal doctor still be able to make an appointment for the beneficiary?
The personal doctor, on a voluntary basis and at the request of the beneficiary, will be able to make the appointment, provided that the beneficiary has no other representative.
11. Will call centre 1474 be able to arrange an appointment for beneficiaries?
No, 1474 will no longer be able to arrange an appointment. However, it will be possible to cancel an appointment previously arranged by the beneficiary or his representative.
